Buyer Beware
Notion's pricing page looks straightforward, but several costs and limitations are not immediately obvious. Here are the gotchas that can inflate your real cost of ownership.

At $8-10/user/month, Notion AI can double your effective per-user cost on the Plus plan. A 50-person team adds $400-500/month.
Exceeding guest limits on Plus (100) or Business (250) requires an Enterprise upgrade, which is a significant price jump.
Free plan's 7-day history means accidental deletions beyond a week are unrecoverable. Plus gives 30 days, but only Business offers 90.
While paid plans have unlimited file uploads, there is no file versioning — overwriting a file permanently replaces the old version.
Free and Plus plans have lower API rate limits, which can bottleneck teams using heavy Notion integrations or automations.
Bulk PDF export is Business+ only. Free and Plus users must export pages individually, which is painful for large workspaces.
Notion requires an internet connection. Unlike Obsidian's local-first approach, offline access is limited to cached pages with no editing capability.
Real Cost Example: 50-Person Team
Advertised: Plus at $10/user/month = $500/month
With AI add-on: $18/user/month = $900/month
If you exceed 100 guests and need Business: $26/user/month with AI = $1,300/month — 2.6x the initial estimate.
Key hidden costs include: Notion AI add-on ($8-10/user/month applied to ALL users), guest collaborator limits forcing enterprise upgrades, limited page history on lower plans, no file versioning, API rate limits, export restrictions (bulk PDF is Business+ only), and no offline editing capability.
